Before You Leave For The Airport

It is recommended that you complete your online check-in* with the airline 24 hours prior to departure. Please review your flight itinerary with the Airline Reservation Code that you received at the time of booking. Your passport will be required for this process. Please go to their website to check in and have your ticket and confirmation number ready.

*If you have been advised that you are on a group flight, you may not be able to check in on the airline’s app

Passport

Photocopy your passport/ID. Take one copy with you (and keep it separate from your passport) and leave one copy at home.

Carry-On Electronics

Ensure all carry-on electronic items are working and fully charged, as you may be required to turn these devices on at security checkpoints.

Emergency Contact Information

Have your emergency contact information, travel insurance, and all pertinent phone numbers and policy numbers.

Travel with Currency and

Take some U.S. cash in smaller denominations for incidentals such as coffee, optional additional gratuities, etc.

Carrying Medication & Personal Items On-Board

Keep all necessary medicine in your carry-on bag/purse. Keep prescriptions in their original containers and ensure they are clearly labelled. Passengers will be permitted to bring a small quantity of liquids, gels and aerosols in their carry-on luggage through security screening at Canadian airports. All items must be packaged in containers with a capacity of 100ml/ 100g (3.4 oz.) or less. All containers must fit comfortably in one clear, closed and resealable plastic bag with a capacity of no more than 1 litre (1 quart). One bag per passenger will be permitted. It must be removed from carry-on luggage and placed separately in a screening bin at airport security. Please visit the airline website for the most up-to-date list of prohibited and permitted items. Carry eyeglasses and other personal items with you, rather than packing them. Consider taking duplicate prescription forms for essential medication and eyeglasses in the event they are lost.

Departure from Canada

To allow enough time for the pre-clearance and security process, Airlines recommend that you arrive at the airport at least three hours before your flight departure time. It is also recommended to keep your passport and boarding pass handy as you will need it at various points before boarding the plane. Please do not leave luggage unattended at any time during your travels.

Travel Information & Guidelines

All travel arrangements MUST be made through Co-operators appointed travel and conference provider (Lorandus Meetings & Incentive Travel). All travelers require a valid, non-expired piece of identification for travel and a passport. Ground travel to and from the recipient ‘s home airport will be covered regardless of travel dates (inside or outside program dates). We ask travelers to use their discretion when booking ground travel.

The choice of using a personal vehicle, taxi, airport limousine/van services or car rental should be made by considering cost and business need. Whenever possible, travelers are encouraged to share ground transportation. If a traveler wishes, he/she may drive their personal automobile to the home airport. The mileage reimbursement to and from the airport, as well as the parking fee, will be reimbursed to the extent that these charges do NOT exceed the cost of other transportation (taxis, limousines, airport transportation) to and from the traveler’s departure point.

All the above expenses require the manager’s approval and sign-off when submitting for reimbursement and will only be approved where our guidelines have been adhered to. Any exceptions will require program owner approval. Recipients and leaders will receive an email prior to the conference with expense information.

Accommodations and meals are included in the all-inclusive package paid by Co-operators for the recipient and guest during the conference dates of May 26-29, 2025.

All accommodations, within the published dates of the conference, will be paid for by Co-operators. If you would like to extend your time, you are welcome to indicate on the registration form the extended dates you would like the hotel reserved for. Any hotel accommodations resulting from extending the stay before or after the published dates of the conference will be at the recipient’s own expense. If reserved through Lorandus, the hotel will honour the group rate for the extended nights and a personal credit card will be charged on site.  Any hotel upgrades at the recipient’s request are at the recipient’s own expense.

Arrival at Cancun International Airport

Upon arrival to Cancun from a non-Mexican gateway you will first have to clear immigration. You only need to present your passport for inspection and processing.

Upon clearing immigration, proceed to the luggage claim area to collect your bags. All incoming checked bags will be x-rayed before reaching the luggage carousel. Once you have all your bags, proceed to the customs area. You only need to stop here if you have something to declare or if a customs agent decides to spot check your luggage.

Having cleared customs, immediately exit the terminal building avoiding any solicitors. A Lorandus team member as well as an Amstar greeter will be located outside the terminal building holding a Co-operators sign for you.  Their uniforms are blue shirts that really stand out in the crowd. In general, they are positioned outside near the restaurants which will be towards your right.  They will assist you with your luggage and board you on your transportation to the hotel. If you arrive to Terminal 4 pay special attention to exit signage.  You want the exit for Hotel Transportation, not Friends and Family exit.

If you would like to take a taxi, all genuine licensed Cancun Airport Taxi and Transportation Companies have a badge permit displayed in their vehicle’s windshields and are equipped with WI-FI and a radio/mobile to communicate with their dispatcher. ALL Cancun Airport Taxi Drivers are required to carry and display their Cancun Airport ID badge and wear a uniform.

Transportation

Transportation will be provided from the Dreams Riviera Cancun to Cancun International Airport on group dates. Detailed departure information will be provided during your stay.

Instructions for Departures if you are Extending in Cancun:

All transfers outside of the program dates and to alternate locations from the airport will be at your own expense.
